1. Information We Collect
You can use most features without creating an account. We only process the following information when you choose to sign in:

For the feedback form we store a hashed form of the submitting IP (to prevent spam — never the raw IP), your browser type and the time. It is not used to track you.
Beyond this, we collect no other personal information: no location, contacts, health data, browsing history, search history, or advertising/tracking identifiers.
2. Where Your Content Lives
The lists, ledger entries, notes, images and sketches you create:
- Are stored locally on your device
- If you enable iCloud, are synced to your own private iCloud database (Apple's CloudKit)
We cannot read your lists, ledger entries, notes or handwriting. They live in your personal iCloud account; we have no access to them and do not upload them to our servers.
There are two exceptions, both triggered by you: your avatar (see sections 1 and 3) and receipt images (see section 3). The latter are uploaded to our server for text recognition and then stored there as part of the cloud receipt vault.
3. Camera and Photos
- Camera — used only by receipt scanning. The photo you take is uploaded to our server (
keepnote.host, over HTTPS), where a recognition engine on the server extracts the merchant, amount and date. Recognition does not happen on your device.
The original image is kept on our server because the cloud receipt vault needs it to show the receipt on your other devices. You can delete any receipt from its detail screen at any time, and deleting your account deletes all receipts and images. That is the only copy we hold, and it is not used for anything else.If you choose “this device only”, the server keeps nothing: no record, no image — the receipt exists only on your device (and in iCloud, if you have iCloud enabled for this app). - Photos — read only when you pick an image. Images you insert into a note, or set as a background, stay on your device and are never uploaded — but if you pick an image from your library for receipt scanning, that image is uploaded just like a camera photo.
- Profile photo — if you choose to set one, it is uploaded to our server so it can appear on your other devices. It is downscaled to 256×256 on your device before upload, stored as a file on our server (not in our database, and not included in our database backups), and served from
/api/profile/avatar/<your user ID>. It is not linked to any other personal data we hold, and it is deleted when you delete your account.
You can revoke these permissions at any time in system settings.
4. Payments
Paid items are purchased through Apple App Store In-App Purchase. We never see or store your payment card details — Apple handles them directly under Apple's Privacy Policy.
5. Third Parties
This app contains no third-party analytics, advertising or tracking SDKs. Apart from our own server used for sign-in, the app transmits no information about you to any third party.
One exception worth naming: sign-in verification codes are delivered by email through our transactional email provider, Resend. Your email address is passed to that provider for the sole purpose of delivering the code.
6. Retention and Deletion
- You can permanently delete your account and associated data at any time from Me → Delete Account inside the app.
- After deletion, the email, name, user ID and uploaded profile photo associated with your account are removed from our server.
- Data on your device and in iCloud can be deleted in the app, or by deleting the app / clearing it in iCloud settings.
7. Children
This app is not directed to children under 13, and we do not knowingly collect personal information from them.
8. Changes
If this policy changes, we will post the new version on this page with an updated date.
